Plumbing hardware comes in a staggering number of variations. A single faucet might exist in a dozen finishes, three trim styles, and have multiple rough-in valve options, and no distributor, no matter the size of its warehouse, can keep every version sitting on a shelf. Timing is everything in plumbing, and knowing when your parts are going to arrive can make or break the project.Â
You’ve probably noticed some items on Plumbing Deals say In-Stock while others say Non-Stock or Special Order. That distinction affects how fast your order ships and what kind of lead time to plan around, so it's worth understanding before you check out. Here's how the system actually works, and how we keep you posted at every step.
Quick Guide: How To Spot a Special Order Item

Product Identifiers (🟥 Red Box): Located directly below the main title, this section lists the exact SKU, MPN (Manufacturer Part Number), and UPC. These codes ensure you’re matching the exact finish, revision, or replacement part for your setup.Â
Lead-Time Indicator (🟧 Orange Box): Positioned right beneath the "Ships Free" badge, this gold asterisk (✳) flags items that ship directly on demand from the manufacturer and displays your estimated delivery window (e.g., 4–6 weeks).
Instant Chat Prompts (🟪 Purple Box): Located right below the buy section, these quick-action buttons let you send fitment and compatibility questions straight to our support team before placing your order. Â
Why "Special Orders" Are So Common in Plumbing
Unlike stores selling off-the-shelf goods, the plumbing industry deals with hundreds of thousands of hyper-specific products. Exact pipe sizing, internal trim kits, unique valve bodies, specific finishes like matte black or brushed brass, and specialized commercial pumps all add to that count, and no single warehouse could stock every variation and still stay profitable.
As an independent distributor, we balance two main goals:
Immediate Fulfillment: We stock the essential, high-demand items, common replacement parts, and popular fixtures in our own warehouses so they can ship right out.Â
Complete Selection: We partner directly with top manufacturers, like TOTO, Grohe, Delta, Caleffi and more, so you have access to their entire catalog. This includes hard to find repair parts, custom finishes, and built-to-order fixtures.Â
When you place a Special Order, it simply means we are ordering that part directly from the factory specifically for your project.Â
How We Keep You in the Loop
We know it's frustrating to wait on a package without knowing where it's headed. That’s why we built automatic updates into our process:
1. Special Order Confirmations (24 to 48 Hours)
If your order has a Special Order item, our in-house team flags it immediately. Within 24 to 48 hours, you’ll get an email from us outlining the expected factory lead time so you know what to expect.
2. Day-5 Check-In
For Non-Stock items, if your order hasn't shipped within 5 days, our system automatically sends an update email letting you know we are actively tracking its status with the manufacturer.
3. Real-Time Updates
If a factory lets us know an item is backordered or running behind, we pass that news along to you right away so you can plan accordingly.
Important Email Tip: Because these status emails are sent automatically, they can sometimes slip into your Junk, Spam, or Promotions folder. To make sure you get every update, be sure to add contact@plumbingdeals.comto your safe senders list! Please be aware that our security policies prevent us from interacting with automated link requests.
Have Questions? We’re Always Here to Help
When we submit a Special Order, manufacturers fill purchase orders in the exact sequence they receive them. You're always free to cancel if your plans change, but we usually suggest letting us check your spot in line first. If you're near the front of the queue, canceling means giving up your place and starting at the back if you need to reorder later. Just reach out, and we'll happily check your factory status so you can decide what works best for your project!
Automated updates are convenient, but sometimes you just want to talk to a real person who understands your business. Whether you’re checking a lead time before placing an order, confirming fitment, or simply looking for a quick status update, we’re always happy to hear from you.
